Payment Policy

This policy outlines the payment terms and procedures for lessons at C Roberts Music Lessons. By enrolling in lessons, students and parents agree to these terms.

1. Payment Processing

All online payments, scheduling, and account management are handled through My Music Staff (MMS). Students can access the Student Portal to manage their accounts, process payments, and view their lesson schedules.

Accepted Payment Methods

  • Online Payments: Payments must be made via Stripe (credit/debit cards) integrated through MMS.
  • Auto Pay Enrollment: Students are encouraged to enable Auto Pay through MMS to ensure timely payments and uninterrupted lesson scheduling.
  • In-Person Payments: Venmo, cash, and check payments are accepted for in-person lessons. No additional processing fees apply to in-person payments.
  • Bank Transfers: Zelle transfers are accepted for payment convenience.

2. Payment Options & Auto-Renewal

Weekly and Monthly Payment Options

  • Lessons are offered on a weekly or monthly payment basis.
  • Students must select and maintain their preferred payment frequency through MMS.
  • No external lesson packages are offered outside of what MMS provides.

Auto Pay & Recurring Payments

  • Students may opt into Auto Pay via MMS for seamless recurring payments.
  • Auto-renewal is a convenience feature, not a contractual subscription.
  • Students can cancel auto-payments at any time, and prepaid lessons remain valid indefinitely until they are used.

3. Cancellations, Refunds & Payment Adjustments

Cancellation Policy

  • A minimum of 24-hour notice is required for cancellations to avoid forfeiting the lesson fee.
  • Cancellations made within less than 24 hours result in lesson forfeiture unless covered under force majeure conditions.

Refund Policy

  • All sales are final. Refunds are only granted if a student permanently discontinues lessons and has prepaid, unused lessons remaining.
  • Auto-renewal payments are non-refundable for the current billing cycle but can be canceled at any time.
  • Full refunds on lesson packages (if applicable) are only granted in extreme cases where the student must permanently discontinue lessons, subject to standard processing fees.

Force Majeure Exceptions

  • If a student is unable to attend lessons due to verified emergencies (e.g., illness, natural disasters, government restrictions), refunds or rescheduling may be granted on a case-by-case basis.
  • Documentation may be required for recurring emergency-related cancellations.

4. Late Payments & Failed Transactions

Payment Deadlines & Grace Periods

  • All payments must be made before or on the due date via MMS.
  • A 7-day grace period is provided for failed payments before lessons are suspended.

Failed Payments & Account Restrictions

Any charges incurred from bad checks or failed payments will be passed on to the student or guardian.

If a payment fails, the student will receive an automated notification from C Roberts Music Lessons.

Students have 7 days to resolve the issue before their account is restricted.

If unresolved, the student will not be able to book future lessons until payment is made.

If payment issues persist, C Roberts Music Lessons reserves the right to terminate the teacher-student relationship or work out a mutually beneficial resolution with the student.


5. Force Majeure Exceptions

Definition:

A force majeure event is an unforeseen event beyond reasonable control that prevents lessons from taking place, such as:

  • Natural Disasters (earthquakes, wildfires, floods)
  • Health Emergencies (pandemics, student illness)
  • Government Restrictions (lockdowns, travel bans)

Policy for Force Majeure Events:

  • Lessons will be rescheduled whenever possible.
  • If rescheduling is not feasible, a credit for future lessons may be issued.
  • Refunds will be considered on a case-by-case basis.

6. Right to Modify Policy

Policy Updates:

  • C Roberts Music Lessons reserves the right to update this Payment Policy at any time.
  • Any modifications will be communicated with reasonable notice via email or website updates.
  • Continued use of services implies acceptance of the revised policy.

Final Acknowledgment

By booking and attending lessons, you acknowledge that you have read, understood, and agreed to this Payment Policy.
