This Rescheduling & Cancellation Policy outlines the terms for missed lessons, rescheduling, and lateness at C Roberts Music Lessons. By booking lessons, students and parents agree to these terms.

This policy covers missed lessons, rescheduling, lateness, force majeure (“Acts of God”), and instructor cancellations. It does not cover trial lesson approvals, vacation holds, or scheduling priority. For those details, please refer to our Booking, Scheduling, Cancelling, & Rescheduling Policy.

1. Student Cancellations & Rescheduling

24-Hour Notice Requirement

  • Students must reschedule at least 24 hours in advance to avoid forfeiting their lesson.
  • Cancellations made within 24 hours of the scheduled lesson result in full forfeiture of the lesson fee, except in force majeure cases (see Section 7).
  • Rescheduled lessons do not expire and may be used whenever the student has availability, within reason.

Exceptions for Emergency Situations

  • Exceptions may be granted at the teacher’s discretion in extreme unforeseen circumstances (e.g., medical emergencies, accidents).
  • If last-minute cancellations become a pattern, a doctor’s note or other proof may be required for illness-related cancellations to qualify for an exception.

How to Reschedule

  • Students may request a reschedule via direct contact with their teacher, the scheduling app, or via email (lessons@crobertsmusiclessons.com).
  • Each paid lesson may only be rescheduled once.

2. No-Shows & Late Cancellations (<24 Hours Notice)

What Qualifies as a No-Show?

A student is considered a no-show if they:

  • Cancel less than 24 hours in advance without an accepted emergency reason.
  • Fail to attend their scheduled lesson without notice.
  • Arrive more than 10 minutes late without prior communication.

Penalty for No-Shows & Late Cancellations

  • No refunds or reschedules will be given for no-shows or cancellations made less than 24 hours in advance.
  • Students on recurring payment plans also forfeit the missed lesson unless an alternative arrangement is made at the instructor’s discretion.
  • Occasional teacher discretion may allow rescheduling exceptions on a case-by-case basis.

3. Rescheduling Guidelines

  • Lessons do not expire and may be used at any available time slot.
  • Rescheduling should be done in a timely manner to avoid scheduling conflicts.
  • If a student exits the teacher-student relationship and does not request a refund for remaining, unused lessons within 30 days, those lessons will be forfeited.

4. Instructor Cancellations & Missed Lessons

Instructor-Initiated Cancellations:

  • If the instructor cancels a lesson, students may reschedule or receive a refund, with rescheduling being the default option.
  • Lessons are not affected by instructor cancellations—the student’s paid lesson remains available for future use.

Repeated Instructor Cancellations:

  • If the instructor repeatedly cancels lessons, scheduling will be adjusted to a more consistent time slot.
  • If this pattern continues, students will be offered a refund for unused lessons upon request.

5. Tardiness & Punctuality

Late Arrival Grace Period:

  • Students may arrive up to 10 minutes late without penalty.
  • However, the lesson will still end at the originally scheduled time (e.g., if a 30-minute lesson is from 3:00–3:30 PM, but the student arrives at 3:10, the lesson still ends at 3:30).

Consistently Late Students:

  • If chronic lateness becomes a pattern, the instructor may discuss adjusting scheduling or setting additional boundaries.
  • No refunds or make-up time will be given for time lost due to late arrivals.

6. Recurring Payment Students & Missed Lessons

What Happens if a Recurring Payment Plan Student Cancels a Lesson?

  • If a recurring payment plan student cancels with <24 hours notice or is a no-show, the lesson is forfeited and cannot be rescheduled.
  • Students who want to make up the lost lesson must purchase an additional session.
  • Occasional flexibility may be granted on a case-by-case basis at the teacher’s discretion.

7. Force Majeure Exceptions

What Qualifies as Force Majeure?

  • Natural Disasters (earthquakes, wildfires, floods)
  • Health Emergencies (pandemics, sudden illness)
  • Government Restrictions (lockdowns, travel bans)
  • Major Unforeseen Events (car accidents, sudden hospitalization, family emergencies)

Force Majeure Policy:

  • Students affected by force majeure events may reschedule their lesson without penalty.
  • If force majeure-related cancellations become a recurring pattern, documentation (e.g., doctor’s note) may be required for further rescheduling.

8. Right to Modify Policy

Policy Updates:

  • C Roberts Music Lessons reserves the right to update this Rescheduling & Cancellation Policy at any time.
  • Any modifications will be communicated with reasonable notice via email or website updates.
  • Continued use of services implies acceptance of the revised policy.
