This policy outlines the procedures for booking, scheduling, cancelling, and rescheduling lessons at C Roberts Music Lessons. It ensures transparency, fairness, and flexibility for students while maintaining structured scheduling operations.

1. Overview & Objectives
Purpose
This policy provides guidelines for booking, scheduling, and rescheduling lessons to support consistency and availability while ensuring that students have flexibility in managing their lesson times.
Key Policies at a Glance
- Lessons are purchased individually; no package discounts are offered.
- No expiration dates for purchased lessons; students can schedule at their convenience.
- 24-hour notice required for cancellations to avoid forfeiture.
- One reschedule per lesson allowed, except in force majeure situations.
- Trial lessons available with manual approval to prevent abuse.
- Instructor cancellations will be rescheduled or credited back to the student.
2. Booking & Scheduling Policies
How to Book Lessons
- Lessons can be scheduled via the student portal, which offers weekly or monthly payment options or through direct communication.
- Students are encouraged to maintain a regular schedule to ensure consistent progress.
Long-Term Scheduling & Retaining Lesson Slots
- Students may reserve a consistent lesson slot on a weekly basis.
- Priority for scheduling is based on first-come, first-served, with consideration for long-term students.
3. Cancellations & Rescheduling
Cancellation Policy
- A minimum of 24-hour notice is required for cancellations to avoid forfeiting the lesson fee.
- Cancellations made with less than 24-hour notice will result in lesson forfeiture unless covered under force majeure circumstances.
Rescheduling Policy
- One reschedule per lesson is permitted, to be used within a reasonable timeframe to maintain scheduling flexibility.
- Rescheduling requests should be made prior to the scheduled lesson time.
Force Majeure Exception
Repeated emergency cancellations may lead to a review of the student’s scheduling practices.
Emergency cancellations (e.g., illness, family emergencies, natural disasters) may be rescheduled without penalty.
4. Trial Lessons
Trial Lesson Policy
One reschedule is allowed for trial lessons, adhering to the standard rescheduling policy.
New students may choose between:
A free 30-minute trial lesson
50% off a 1-hour lesson
Trial lessons require manual approval.
5. Special Cases & Instructor Cancellations
Instructor Cancellations & Leave of Absence
- If the instructor cancels a lesson, it will be rescheduled at a mutually convenient time.
- For planned instructor absences (e.g., vacations, extended leave, or touring commitments), students will be notified in advance, and lessons will be rescheduled accordingly. In cases where the instructor will be unavailable for an extended period due to professional music commitments, students may pause lessons without penalty or work with an alternative instructor if available.
Vacation Holds & Lesson Pauses
- Students may pause lessons for personal reasons without penalty.
- Advance notice is appreciated to adjust scheduling and accommodate all students effectively.
